This site’s compliance with the above legislation, all of which are stringent in nature, means that this site is likely compliant with the data protection and user privacy legislation set out by many other countries and territories as well. 3.0 Personal information that this website collects

3.3 Information we process because we have a legal obligation

We are subject to the law like everyone else. Sometimes, we must process your information in order to comply with a statutory obligation.

For example, we may be required to give information to legal authorities if they so request or if they have the proper authorisation such as a search warrant or court order.

4.0 Personal data - why we collect it

4.1 Curriculum Vitae Submissions and Job Applications

To apply for a position on this website or if you contact us by email or phone we may keep record of the following data:

  • Candidate name
  • Contact details including phone numbers and e-mail address
  • Other relevant information from their CV including education and employment histories, hobbies and interests
  • Nationality
  • Possibly financial information such as bank account details
  • Criminal convictions
  • Ethnic origin

Should you choose to submit your curriculum vitae(s) and/or supporting documentation to us and/or apply for a position, none of the data the you supply will be stored by this website or passed to/be processed by any of the third party data processors defined in section 6.0. No login or account is required, instead the submitted data is collected via web forms on SSL/TLS secured pages and collated into secure email and sent to us over the Simple Mail Transfer Protocol (SMTP). Our SMTP servers are protected by TLS/SSL meaning that the email content is encrypted using SHA-2, 256-bit cryptography before being sent across the internet. The email content is then decrypted by our local computers and devices allowing us to process your application locally at our offices.

Your personal details and information and your curriculum vitae (and any other supporting information) will be held and used in the following ways and for the following purposes:

  • to cross reference your information with the job vacancies to help you find the most suitable position for you;
  • provide you with job vacancies information that you request from us or we feel may that may interest you, where you have consented to be contacted for such purposes;
  • to provide to you marketing literature in respect of our services or to notify you of any future marketing or similar events involving ourselves that may be of interest to you;
  • compiling surveys such as any salary surveys for your area of work or specialisms;
  • to allow you to participate in interactive features of our service, when you choose to do so; and
  • to notify you about changes to our services and terms and conditions of business and website usage.

We will not disclose any of your details without consulting you first either by telephone or by email (if we are unable to contact you by telephone for any reason). We will discuss any recruitment opportunities with you prior to contacting any prospective employers with regard to any vacancies which you have or may express an interest in or that we have identified as being suitable for you. We will pass your contact details and copies of your curriculum vitae (and any supporting documentation) only with your prior consent (either verbal or written) to prospective employers in order to proceed further with the recruitment process.

All of our employees, who have access to, and are associated with the processing of your personal data, are obliged by law to respect and abide by the confidentiality of our users’ personal data.

4.2 Site visitation tracking

Like most websites, this site uses Google Analytics (GA) to track user interaction. We use this data to determine the number of people using our site, to better understand how they find and use our web pages and to see their journey through the website.

Although GA records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you to us. GA also records your computer’s IP address which could be used to personally identify you but Google do not grant us access to this. We consider Google to be a third party data processor (see section 6.0 below).

GA makes use of cookies, details of which can be found on Google’s developer guides.

Disabling cookies on your internet browser will stop GA from tracking any part of your visit to pages within this website.

4.3 General Correspondence

We may keep a record of any correspondence whether it be email on our mail servers or hard copies of letters mailed to us.

4.4 Sending a message to our support team

When you contact us, whether by telephone, through our website or by e-mail, we collect the data you have given to us in order to reply with the information you need.

We record your request and our reply in order to increase the efficiency of our business.

We keep personally identifiable information associated with your message, such as your name and email address so as to be able to track our communications with you to provide a quality service.

4.5 Complaining

When we receive a complaint, we record all the information you have given to us. We use that information to resolve your complaint.

5.0 How we store your personal information

Personal data submitted through the forms on this website are NOT stored online in any way - see method of data submission in section 4 above.

6.0 Disclosure of your personal data and information

We may disclose your personal data and information to third parties in the event that:

  1. you authorise us to do so for any of the purposes referred to above;
  2. we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets; or
  3. if Alexander Kaye Recruitment Limited or substantially all of its assets are acquired by a third party, in which case personal data held about you and other users will be one of the transferred assets.

We ensure that your personal data will not be disclosed to institutions, government departments and authorities or any other organisations except if we are required to do so by law or other regulation.

We will only use your personal data as set out above and with your prior consent.

7.0 Our third party data processors

We use a number of third parties to process personal data on our behalf. These third parties have been carefully chosen and all of them comply with the legislation set out in section 2.0. These third parties are based in the USA and are EU-U.S Privacy Shield compliant.

8.1 Use for marketing purposes

8.2 Access to your personal information

At any time you may review or update personally identifiable information that we hold about you and to obtain a copy of any information that is not provided on our website you may send us a request at debbie@alexanderkaye.co.uk

  • Requests for data will be processed within 20 working days, in accordance with the GDPR.

8.3 Removal of your information

This may limit the service we can provide to you.

8.4 How you can complain

If you are not happy with our privacy policy or if have any complaint, then you should tell us by email.

If you are in any way dissatisfied about how we process your personal information, you have a right to lodge a complaint with the Information Commissioner’s Office. This can be done at www.ico.org.uk

8.5 Retention period for personal data

Except as otherwise mentioned in this privacy notice, we keep your personal information only for as long as required by us:

  • to provide you with the services you have requested;
  • to comply with other law, including for the period demanded by our tax authorities;
  • to support a claim or defence in court.

All traffic (transferral of files) between this website and your browser is encrypted and delivered over HTTPS.

We will report any unlawful data breach of this website’s database or the database(s) of any of our third party data processors to any and all relevant persons and authorities within 72 hours of the breach if it is apparent that personal data stored in an identifiable manner has been stolen.
